Essential End-of-Term Checklist for Dance Teachers Before the Christmas Break

Dance teachers – we all know the feeling. The shows and recitals are behind you, the Christmas holidays are getting closer, and everyone (parents, students… and even some of your staff!) is starting to wind down.
But before you switch off the lights and close the studio for a well-deserved break, there are a few essential tasks that will help you start the new year organised, prepared, and stress-free. This is the perfect time to tie up loose ends, set expectations, and communicate clearly so January runs smoothly.
Below is your complete end-of-term checklist.

1. Review and Communicate Class Price Changes
If you plan to increase class prices in January, the weeks leading up to the Christmas break are an ideal time to communicate this to parents. Being clear, firm, and fair ensures families have time to prepare, and it prevents confusion when the new term begins.

2. Confirm Class Changes, New Schedules, and Locations
If you’re adjusting class schedules, levels, or studio locations in the new year, make sure parents know:
What is changing
Why the change is happening
When the new schedule begins
Where students need to be for each class
Parents are juggling enough at this time of year, so the clearer the information, the smoother January will be. Consider sending:

3. Remind Parents About Uniform Expectations
If your studio requires a uniform, now is the perfect moment to remind parents so they can purchase what they need before January.

Uniform or costume requirements

5. Remind Parents of the First Day Back
It sounds simple, but this one saves a LOT of headaches.
Clearly share:
The studio’s final day before Christmas
The exact date and time classes resume
Any exceptions (e.g., competition teams returning earlier, adult classes starting later)
Pin it to your socials, email it out, and add it to your studio software’s announcements.
6. Let Parents Know You Will Also Be Switching Off
Dance teachers work incredibly hard all year—so it’s important to communicate that you’ll be taking time away too.
Let parents know:
When you will be unavailable
When will communication resume
Who to contact in an emergency (if relevant)
That non-urgent messages will be handled after you return
Setting boundaries now means fewer interruptions during your much-deserved break.
7. Send a Final Reminder About Invoices and Payments
If you don’t have auto-pay set up (and if not, consider promoting it for the new year!), send out a final reminder:
Any outstanding invoices
January fees and due dates
Payment methods available
Any late-payment policies starting in the new year
