You know the moment. A parent spots you across the car park at pick-up and suddenly finds their phone very interesting. Your last three reminder texts are sitting on "read". And the competition entry, the new leotards or the show costumes have already gone on the studio card.
If you run a dance studio, gymnastics club, cheer gym, performing arts school or any other activity studio, late payments are probably one of the least favourite parts of your job. You started your business to teach, not to chase money from families you care about.
The good news is that most late payments are a systems problem, not a people problem. Get the right system in place, and most of the chasing (and the awkward conversations) disappears. Here's how.
Why late payments hurt more than you think
A late payment here and there might not feel like a big deal. But it adds up quickly, and not only in pounds.
It squeezes your cash flow
Your costs don't wait. Venue hire, coaches' wages, kit, costumes and competition entries all have to be paid on time, whether families pay you or not. When fees come in late, you end up covering the gap yourself.
It eats your time
Checking who has paid, sending reminders, following up and updating spreadsheets can take hours every month. That's time you could spend planning classes or growing your studio.
It isn't fair on families who pay on time
Most parents pay promptly. When late payers face no consequences, it quietly undermines everyone who does the right thing.
It makes things awkward
You see these families every week. Unpaid fees can create tension between you, your staff and parents, which is the last thing you want in a friendly studio.
How to stop late payments before they happen
The easiest late payment to deal with is the one that never happens. These four changes stop most of them at the source, and Class Manager can take care of each one for you.
Put your payment policy in writing (and get it signed)
Write a short, clear policy that covers when fees are due, how to pay, what happens if a payment is late, and whether a late fee applies. (Don’t just keep this information in your head, or hidden away somewhere; make it clear from the get-go).
In Class Manager, you can publish your policies and waivers straight to the parent portal and ask families to read and sign them. Every signed copy is stored in the system, so you have a written record that each family has not only read your policy, but agreed to it too.
When the time comes to follow up on a payment, you're not making up rules on the spot. You're pointing to something they've already signed.
Make online payments the default
Cash in an envelope and bank transfers with mystery references are where payments go missing. Most late payers aren't avoiding you on purpose. They just forgot, or paying wasn't easy enough.
With Class Manager's automated billing, families add their card to their parent portal once, and the rest is done for them. Fees are taken automatically when they're due, so there's nothing for parents to remember and nothing for you to chase.
Let reminders send themselves
Most studios only remind families once a payment is already late, and usually that means you sitting down at night to write the messages yourself.
Class Manager's communication tools handle your reminders and updates for you. You can customise the emails so they look and sound like your studio, with your logo, your colours and your tone of voice. But you don't have to be the one pressing send. Set them up once, and they go out at the right time, every time.
Cut down the number of due dates
Every due date is another chance for someone to miss a payment. Termly fees or class packages mean fewer payments to chase and steadier cash flow for you. You can still offer instalments for families who need them, set up on a fixed schedule in your billing settings.
How to chase late payments, step by step
Even with great systems, the odd payment will slip through, often because a card has expired or a payment has failed. A set sequence means you never have to wonder what to say or when to say it.
Step 1: A friendly reminder on the due date
Keep it light. Most people simply forgot, or their card details need updating.
Step 2: A polite follow-up after 7 days
Still friendly, but clearer: the fee is outstanding, here's how to pay, and get in touch if anything's wrong.
Step 3: A late fee and a personal message after 14 days
If your signed policy includes a late fee, now is when it applies. A personal note shows you've noticed.
Step 4: A private conversation
Ask if everything is okay and offer a payment plan if money is tight. Never discuss it in front of the child.
Step 5: Pause participation, if your policy allows
As a last resort, and only if your terms say so, pause attendance or entry into competitions, shows or gradings until the account is settled.
How Class Manager handles the chasing for you
You don't have to run this sequence by hand. Class Manager sends automated payment emails to families with outstanding fees, and automatically retries failed payments, so most missed payments are sorted before you even notice them.
When a family is struggling
Not every late payment is forgetfulness. With household budgets under pressure, some families are finding it hard to keep up, and they may be embarrassed to say so.
You can be kind and still be firm. Offer a payment plan with fixed dates, point families to any bursaries or sibling discounts you run, and keep every conversation private. The policy stays the same for everyone. What changes is the support you offer to help them meet it.
Get paid on time with Class Manager
Late payments will never vanish completely, but they don't have to take over your evenings. With Class Manager, families sign your policies in the parent portal, fees are collected automatically, failed payments are retried, and reminders go out without you lifting a finger.
It's class management software built for dance, gymnastics, cheer, performing arts and other activity studios, with no monthly subscription. You only pay a small fee on the online payments you process, so you're never paying for software in the months your studio is closed.
Less time chasing, more time teaching.
