Switching to auto pay and automated billing, can feel like a daunting process for dance studio owners. In our experience, the biggest worry studio owners have when adopting a new payment method is that parents won’t like the change and may even leave.
A totally valid worry. But in reality, this is rarely the case.
In fact, switching from manual or cash payments to auto pay brings a huge number of benefits for your customers. Don’t believe us? Let’s break it down.
First Things First: What Are You Currently Using?
AutoPay is exactly what it sounds like: the money your customers owe is taken directly from their bank account via their chosen card, which is stored within Class Manager.
The perks of this are covered in more detail in our blog post, ‘Three Reasons Why Auto Pay is the Smart Choice for Dance Studios’.
But if you’re not using AutoPay, then what are you using? (And are there any benefits to these payment methods?)
Cash
Parents have to remember to get cash out, calculate what they owe, and then remember to give it to you.
You then have to count it and ensure it’s correct—a multi-step process for everyone.
And unlike AutoPay, cash must come straight from the bank account and can’t be put on a credit card, whereas with Class Manager, parents can choose to have their saved card be a credit card…
Cheque
Similar to cash, but without the trip to the cashpoint. However, customers still need a cheque book (which many don’t even own anymore), must manually calculate and write the cheque, hand it over to you, and then you need to go to the effort of cashing it.
BACs / Direct Debit
Bank transfers and direct debits are slightly easier since they can be done on a phone, but they still need to be organised in advance.
Direct debit (DD) can be especially tricky if a student joins extra classes or misses a class that month, because the DD will continue to come out automatically and transfer the preset amount to your account.
All of these options come with a lot of friction—for both you and your customers.

So, What Are the Benefits of Moving Customers to Auto Pay?
1. It’s Easy
Being a parent is hard, and it gets hectic. Anything that makes life easier is a win.
If they can simply take their child to lessons knowing that, at the end of the week or month, their bill is automatically calculated and paid—with no input needed from them—it’s one less thing to worry about.
Just like their other subscriptions, it becomes easy, straightforward, and simple. Which is a real win in any busy parent's mind.
2. No Human Error
When parents calculate their own payments—or when you manually invoice—there’s always a risk of miscalculations. We’re all human, and mistakes happen.
With automated payments, the margin for error is significantly lower, meaning customers are far less likely to overpay or underpay.
3. Avoiding Late Fees
Most dance studio owners have late fees in place. If you don’t, it’s worth considering: they cover the extra admin time it takes to chase payments and also act as a deterrent.
With auto pay enabled, customers avoid late fees entirely (except when insufficient funds cause a failed payment).
Fewer late fees = happier customers.

4. Can Improve Customers’ Credit Scores
Consistently paying bills on time helps build and maintain a good credit score.
For families hoping to buy a house or make larger financial investments, every consistent payment helps. Auto pay supports this positive habit.
5. Better Customer Experience
Auto pay = better customer service and overall experience.
Why?
Because no one wants to worry that they’ve forgotten to pay, or that they’ve paid the wrong amount. Auto pay removes those worries completely, allowing customers to simply enjoy the service you provide.
