Not every dance school has a studio. Plenty of brilliant ones run from a village hall on a Tuesday, a church hall on a Thursday and a school gym on Saturday morning. You turn up, roll out the speaker, teach, pack up and drive home.
The trouble is that most advice about dance studio software assumes you have a building, a front desk and someone to answer the phone. You don't. Is your office your car, and your front desk is your phone?
That's exactly why the right software matters more for you, not less. When there's no reception desk, your software becomes it: the place parents book, pay, find out where to go, and get in touch.
Here's how dance studio software works for dance schools that move between venues, and what to look for if you're choosing one.
1. Registers Without a Front Desk
In a hired hall, the register usually lives on a clipboard. Then it lives in your bag, then in a pile on the kitchen table, and by half term you can't remember who missed what.
What helps: registers and attendance tracking on your phone. With Class Manager, you or your teachers take attendance on any device, from any venue, and it's saved straight to each student's record. No transferring paper registers into a spreadsheet.
It also means you can spot patterns across venues. If attendance at your Thursday hall is slipping, you'll see it in your reports before the empty spaces become empty classes. (Our post on student retention has ideas for what to do next.)
Bonus for hall-based schools: medical details, emergency contacts and photo consent sit in each student's profile on your phone. If something happens in a hall with no office, you're not scrambling for a form you left at home. Find out more about student management and safeguarding with class management software.

2. Payments Without a Cash Tin
Collecting fees at the hall door is not ideal, especially when you’re trying to welcome a class of six-year-olds while a parent hands you an envelope and asks if you've got change.
What helps: taking payments off the floor entirely. When families save a card in their Family Portal, automated billing collects fees on schedule. You never handle cash, you never bank cheques, and you never have that awkward "have you paid?" chat in front of other parents.
If someone does fall behind, you can see it straight away and send a polite reminder from your phone. Our guide to chasing late payments without upsetting families has wording you can use, and Keep Your Payments in Perfect Rhythm explains how automation works.
Uniform too: parents can order and pay for uniform and costumes in the Shop, so you're not taking orders on scraps of paper between classes.

3. Timetables Across Several Venues
Three halls, five days, twelve classes. Keeping that straight in your head is one thing. Making it clear to parents, who only need to know where their child goes and when, is another.
What helps: one online timetable that shows each class with its location, teacher, and session details. Families browse and book from the class schedule, so nobody turns up at the wrong hall. Class sizes and waiting lists are managed for you, which matters when a small hall can only safely fit a set number of dancers.
New term? Copy existing classes or a whole season in one click, rather than rebuilding your timetable from scratch every September.
Studio tip: hall bookings often change between terms. Before you copy last term's timetable, check your hire agreements and update any times or venues first.
4. Keeping Parents Updated When the Venue Changes
It's 3pm. The hall's heating has broken, or the school needs the gym for parents' evening. You've got two hours to move class or cancel it, and twenty families to tell.
What helps: messaging the right group in seconds. With Class Manager's communication tools, you can:
Send a broadcast chat message to everyone in one class, so only the families affected hear about it
Use group Chats for each venue or class, so parents can ask questions in one place
Reply to individual parents one-to-one, with AI Suggested Replies to save you typing on the go
Post a pinned update in Spotlight so the change sits at the top of every family's feed (here's how pinned Spotlight posts work)
No more copying and pasting the same text into a dozen WhatsApp chats. For more ideas, read How to Improve Parent Communications and 5 Ways to Keep Parents Engaged in Your Dance Studio.

5. Teaching in Schools and Running After-School Clubs
Many hall-based teachers also run dance in local primary schools, either as an after-school club or a lunchtime session. It's great for reaching new families, but it adds another layer of admin: separate registers, separate payments and a different set of parents.
That's exactly where Kali, founder of Elibah School of Dance, found herself. She started running dance programmes in local schools in 2017 and was, in her words, "drowning in paper." Now she manages enrolments, invoicing, payments, registers and schedules for both her school programmes and her private classes in Class Manager. Read the full Elibah School of Dance case study.
What helps:
Set up each school club as its own class, with its own register and pricing
Let parents enrol and pay online, so you're not collecting forms through the school office
Use automated trial emails to invite school club families to try a class at your main venue
School clubs are one of the best routes into your weekend classes. Our posts on losing after-school students and turning trials into full-time students cover how to make that move feel natural.
Your Studio, Wherever You Teach
You don't need your own building to run a professional dance school. With the right dance studio software, families get the same easy booking, payments, and updates whether you teach in a purpose-built studio or a village hall with a temperamental boiler. Add your logo and colours with Class Manager's Professional Look features, and nobody would know you don't have a front desk.
Class Manager has no monthly subscription, just a processing fee on online payments, so it works for small, hall-based schools as well as large studios. You can see prices here.
