How to Turn More Trial Classes Into Paying Gymnasts Using Gymnastic Management Software
•

A trial class is your gymnastics club's best marketing. A child walks in, tries a forward roll, has a go on the beam, and leaves with a big grin. The parent is impressed. The student is loving it. Then life gets busy, nobody follows up, and that family never comes back.
Most clubs don't have trouble booking trials. The problem is what happens after. If you want your club to grow, the few days after a trial matter more than the trial itself.
Make the trial easy to book
You can’t convert a trial gymnast if the process for even booking a trial with you is convoluted. Before you can convert anyone, parents need to be able to book without friction. If booking a trial means sending a Facebook message, waiting for a reply, and then filling in a paper form on the day, some families will drop off before they ever reach the mat.
Let parents book online, pick a suitable class for their child's age and ability, and fill in their details in one go. With Class Manager’s gymnastics management software, it’s super easy for parents to book a trial with you, via the parent portal, and trial bookings go straight into your system, making it easy every step of the way.
Make the first session feel personal
Children remember whether they had fun. Parents remember whether anyone spoke to them.
A few things make a big difference:
Tell the coach who's trialling before the class starts, so they can greet the child by name
Pair new gymnasts with a friendly regular for warm-ups
Have someone speak to the parent at pick-up, even for two minutes
Mention one thing the child did well that day
None of this costs anything, and it's often what tips a parent from "maybe" to "yes".
We covered a lot of this in our webinar with Alison-Foster-Jones: ‘How to turn free trials into forever students'”.
Follow up within 24 hours
This is where most clubs lose families. The trial went well, everyone meant to follow up, and then Tuesday became Friday.
Set up automated trial emails so every family hears from you without anyone having to remember. A good sequence might look like this:
Same day: thank them for coming and share a photo or a note on how their child got on
Two days later: explain how term places work, what's included, and how to sign up
A week later: a gentle nudge if they haven't booked, with an easy link to join
Class Manager's Automated Trial Emails send these for you once they're set up, so every trial gets the same follow-up whether it's a quiet week or the first week of September. So you don’t have to worry about communicating with every student, as well as everything else that is on your list.
Show progress early
Parents keep paying for gymnastics when they can see their child getting better. The earlier they see that, the better.
Use skill tracking from the very first session. If a new gymnast gets a tick for a straight jump or a teddy bear roll on their first day, that shows up for the parent in the Family Portal. It tells them their child is learning, and that your club pays attention.
Keep the conversation going
A parent who's unsure is more likely to message than pick up the phone. Make it easy for them.
With Chats in Class Manager, parents can message the club directly, and you can reply without handing out your personal number. AI Suggested Replies help you answer common questions (kit, term dates, what happens if they miss a class) in seconds, so a Sunday evening message gets answered before the parent moves on.
Make signing up simple
When a family decides to join, don't make them jump through hoops. They should be able to sign up, pay, and see their child's timetable in a few taps. Automated billing means you're not chasing first payments, and families set up with direct debit from the start are far less likely to drift away mid-term.
Track what's working
Once you've got a system in place, keep an eye on the numbers. How many trials did you run this term? How many joined? Which classes convert best, and which coaches get the most sign-ups?
Class Manager's Reports help you spot patterns, like a Saturday preschool class that converts brilliantly while a weekday evening slot lets families slip through. Small changes based on real numbers add up to steady growth over a year.
